Position Title: Drop-In Center Receptionist / PED Determinator
Reports To: Clinical Supervisor

 

Position Summary

The Drop-In Center Receptionist / PED Determinator serves as the first point of contact for clients accessing the agency’s drop-in center. This role manages front desk operations, greets and screens clients, and performs preliminary eligibility determinations (PED) for Medicaid. The position ensures efficient intake procedures, maintains accurate records, and supports the overall operations of the drop-in center in compliance with agency, state, and federal standards.
The primary work location and designated reporting site for training will be assigned by the direct supervisor. All location details, scheduling information, and reporting instructions upon hire or as operational needs change.

 

Responsibilities

  • Greet clients, visitors, and referral sources, providing a welcoming and professional environment.

  • Conduct Preliminary Eligibility Determinations (PED) for Medicaid.

  • Verify client information, insurance eligibility, and service requests in accordance with agency policies.

  • Schedule client appointments and intake sessions for CCSS or CPSW groups.

  • Maintain accurate client records, ensuring documentation is entered into the Electronic Health Record (EHR) and Patient Online Portal as required.

  • Answer phones, respond to emails, and manage drop-in center communications.

  • Support drop-in center operations, including maintaining a clean, organized, office area (bathrooms, coffee area, computer station, food pantry, free store, group rooms).

  • Monitor client flow, ensuring privacy and compliance with HIPAA and 42 CFR Part 2 regulations.

  • Provide referrals and information for additional agency programs and community resources.

  • Assist staff with data collection, reporting, and other administrative duties as assigned.

  • Will respond to all internal communications (email, Teams, phone, or messages) within 24 business hours, unless scheduled out of the office or on approved leave.

 

Qualifications

  • High school diploma or equivalent required and PED training.

  • Experience in administrative or front-desk roles, ideally in behavioral health, social services, or human services settings.

  • Knowledge of Medicaid, insurance verification processes, or eligibility determination preferred.

  • Strong communication, customer service, and organizational skills.

  • Proficiency in Microsoft Office, EHR systems, and data entry.

  • Ability to maintain confidentiality, professionalism, and ethical standards in all interactions.

 

Scope of Practice:

The Drop-In Center Receptionist / PED Determinator is responsible for intake screening, front desk operations, and preliminary eligibility assessments. This position ensures accurate record-keeping and coordination of services while maintaining compliance with New Mexico behavioral health regulations and agency policies. All client information collected is securely stored in the EHR and Patient Online Portal for continuity of care, reporting, and regulatory compliance.
